Privacy Policy
Polycon International (“Polycon”, “we”, “us”) respects your privacy. This policy explains how we collect, use, store and disclose personal information. We handle personal information in accordance with the Australian Privacy Act 1988 (Cth) and the Australian Privacy Principles, and, where they apply, the UK GDPR, the EU GDPR and applicable US state privacy laws.
Information we collect
- Contact details you give us, such as your name, organisation, job title, email address, phone number and country.
- Project information you choose to share through our forms, emails or meetings.
- Records of our communications and the services we provide to you.
- Basic website usage data, such as pages visited and browser type, collected through standard server logs or analytics tools.
How we use your information
- To respond to enquiries and provide quotes and proposals.
- To deliver, manage and invoice our services.
- To send information you have asked for, such as articles or event details. You can unsubscribe at any time.
- To improve our website and services.
- To meet our legal, accounting and regulatory obligations.
Lawful basis (UK and EU)
Where the UK or EU GDPR applies, we process personal data to take steps at your request before entering a contract, to perform a contract, for our legitimate interests in running and promoting our business, to comply with legal obligations, or with your consent, which you can withdraw at any time.
Disclosure
- We do not sell or rent personal information.
- We share information only with trusted service providers who help us operate, such as email, form-processing, cloud storage and accounting providers, under confidentiality obligations.
- We may disclose information where required by law.
Overseas transfers
Some of our service providers store data outside your country, including in the United States. We take reasonable steps to ensure these providers protect your information to a standard comparable to the laws that apply to you.
Website AI assistant
Our website chat assistant uses an AI service (Claude, provided by Anthropic) to answer questions. Messages you type are sent to that service to generate replies and are not used to train its models. Please do not enter confidential designs or sensitive personal information in the chat. To improve our answers and prevent misuse, we keep a record of chat conversations (the messages, the replies and the page they were asked from) for up to 30 days, and our team reviews them; the record is then deleted automatically. We also use Cloudflare Turnstile to check that the chat is being used by a person rather than an automated program, and we limit how many messages can be sent. If you choose to send your details and the chat transcript to us, we handle them like any other enquiry.
Security and retention
We protect personal information using access controls, encryption in transit, secure cloud platforms and staff confidentiality obligations. We keep personal information only as long as needed for the purposes above or as required by law, then securely delete or de-identify it.
Your rights
You can ask to access or correct the personal information we hold about you. Depending on where you live, you may also have the right to request deletion, restrict or object to processing, or request a copy of your data. Contact us using the details below and we will respond within 30 days.
Complaints
If you have a concern about how we have handled your information, please contact us first. If you are not satisfied with our response, you may contact the Office of the Australian Information Commissioner (oaic.gov.au), the UK Information Commissioner’s Office (ico.org.uk), or your local data protection authority.
